Approval evidence is established for requirements, structure, design, and development stages

How should each website development stage be approved so problems are not left until launch?

Author: JVDS Design Studio Reading time: about 4 min

At each website development stage, confirm that stage's objects, adopted version, and unresolved items before deciding whether to proceed. This suits corporate websites involving several participants. Approval clarifies dependencies rather than forbids every change. Treating ‘I have seen it’ as acceptance can push structural and material problems into launch.

Establish stage outcomes before discussing acceptance

The requirements stage should identify the audience, first-release tasks, page and function scope, and owners for materials and approval. The structure stage should show relationships between sections and pages, giving real content a place. Without these objects, a meeting can end without the next stage being ready.

The design stage confirms visual and content-presentation rules and flags missing assets. Development verifies agreed functions, page rules, and content-management actions. Launch checks production configuration and the business receiving chain. These objects have different acceptance conditions; every stage should not collapse into a manager viewing the homepage once. See Design and Website Project Acceptance Guide for related checks.

Connect stages with an approval sheet

An approval sheet can record five items: checked objects, adopted file version, passed items, outstanding items, and conditions limiting the next stage. For example, the structure may pass while downloads remain undecided. Design can continue on ordinary pages, with the download area explicitly awaiting confirmation.

Suppose management approves navigation but the product material owner has not approved detailed specifications. The entire structure need not be discarded, but the product page cannot be marked fully final. Recording the two states separately supports continuing work and prevents developers from using unapproved materials.

When confirming a corporate website project with JVDS Design Studio, match stage approval sheets to deliverables and identify what the company and production team each check. Agree within the project on specific responsibilities for design, development, content entry, and launch maintenance.

Handle three types of feedback differently

First are problems with the current stage's objects, such as unclear section names, which should be resolved in that approval. Second are corrections within existing objects, such as typos in approved copy, which can be recorded and fixed. Third are new requirements, such as another language or business process, whose impact needs assessment. They should not all be labeled ‘quick changes.’

Approvers should match the issue. Relevant decision-makers approve brand direction, material owners verify business facts, and appropriate personnel test functionality. One person may hold several roles, but attendance at a meeting does not automatically approve every specialist detail.

For conflicting opinions, record the disputed object, each rationale, and the final decision-maker. Do not ask designers and developers to choose a side among contradictory messages or delete disputed items to protect the schedule. Pause affected portions if necessary and continue independent tasks.

Review outstanding approval items before launch

Collect and check unresolved issues from every stage, especially placeholders, test copy, email configuration, and external accounts. Permission to continue provisionally does not mean they may go live unchanged. The business owner must decide whether to complete them, hide the corresponding area, or change launch scope. See Corporate Website Launch Acceptance Checklist for related checks.

Success means each key object has a clear version, checking result, and owner, with unfinished items retained across stage changes. Approval cannot guarantee no new problems, but should make them identifiable and assessable, with a clear decision on whether related objects need renewed approval.

Frequently asked questions

Can an error still be corrected after stage approval?

Yes. First distinguish an error within original scope from a new requirement and record its impact. If it changes approved principles or several pages, reconfirm affected portions. A signature should not make every detail permanently unchangeable.

Can design and development approvals be combined to save time?

Some simple objects may be combined, but retain each stage's checks. If structure, assets, or function rules remain unclear, early development may cause rework. Explain risks and outstanding conditions, then schedule suitable parallel tasks.
