“This Is Hard to Use”: Should You Change the UI or Redesign the UX Flow?

When users say something is hard to use, locate the step where they cannot continue before deciding whether expression, flow or business conditions need changing. UI and UX distinctions help responsibilities, but issues often cross both. Classifying by job title first may leave users facing the same failure.

Make Complaints Specific through Failure Points

Record goals, existing information, starting actions and actual results. Ask whether entries are hidden, names unclear, input difficult or results insufficient. This grounds difficulty in tasks rather than preference debates.

Retain sequence and conditions. A button obscured on a small screen and uncertainty about which button to choose may need different treatments; identical screenshots do not prove identical causes.

Success means reproducible issues and explainable consequences. Without reproduction, record hypotheses instead of declaring causes merely to assign work quickly.

If users know goals and steps but cannot read text, identify priorities or recognize states, check UI expression first. Hierarchy, control wording, layout and feedback still require correct rules and content to express.

For vague button wording, identify its actual action before naming it. A brighter confirm button may still fail to explain its purpose. Revisions should address recorded cognitive or interaction difficulty.

If users must supply unknown information or follow steps unsuited to their task, inspect flows and business rules. Larger buttons cannot provide missing facts or decide whether eligibility conditions can be removed.

If customers do not know a product model but the form requires one, assess whether they can describe an application first and receive assistance. The company confirms handling; designers express routes but cannot change accepted business scope independently.

Connect Revisions and Rechecks with an Assignment Card

Record failed step, evidence, possible cause, proposed change, approver and retest task. Validate unclear causes first; after business approval, execute interface, content or flow changes separately.

Have users repeat original tasks and observe whether the same failure remains or new difficulties appear. Neater screenshots cannot close a failure to submit.
